Terms & Conditions

MATCPD Limited

1. What’s Included

For all events hosted by MATCPD LIMITED, delegate fees (virtual or in-person attendance) include access to:

• Speaker profiles and session materials

• Presentation slides (where shared by speakers)

• Any additional supporting resources provided as part of the session

For in-person events, lunch and refreshments (tea, coffee, etc.) may be provided. We will state this in the Course Brochure and Course Webpage if applicable to the event.

2. Virtual Group Bookings

A valid booking is required for each individual attending a virtual and in-person session, even if joining from a shared screen or device. Unregistered attendees may be removed from the session at the organiser’s discretion.

3. Booking Confirmation

All bookings will be confirmed by email. We recommend adding info@matcpd.com, hello@matcpd.com, admin@matcpd.com to your safe senders to ensure you receive booking communications.

If you do not receive confirmation within 7–10 working days of booking, please get in touch.

• Card Payments: A receipt will be issued by our third-party payment provider, Stripe.

• Invoice Requests: Invoices will be issued upon booking and are due within 30 days of the invoice date, or three days before the course date, whichever is soonest. If we do not receive your payment within this timeframe, your booking will be cancelled.

Access instructions for virtual events will be provided via email. If you have not received joining instructions, please email us at admin@matcpd.com and we can provide assistance.

4. Substitutions

If a delegate can no longer attend, a substitute may attend in their place. Please notify us in writing with the name and contact details of the replacement delegate.

5. Cancellations

• More than 4 weeks prior to the event: A refund will be provided, less a 20% administration fee

• Less than 4 weeks prior: No refund can be issued

• Non-attendance: No refund will be given if a delegate fails to attend without prior cancellation

Refunds for credit card payments will only be made to the original card used.

Outstanding invoices must still be paid in full, even if cancellation occurs after the four-week deadline. In cases where cancellation is made more than four weeks prior, a credit note for 80% of the fee will be issued.

Upon completion of a booking form, the delegate and their employing organisation become liable for the full event fee, subject to these terms.

If a delegate changes employer, the organisation that made the original booking remains responsible for the fee.

Please note: MATCPD LIMITED reserves the right to cancel an event if there are insufficient delegate bookings. In the unlikely event this happens, we will offer you a full refund or, if preferred, the option to transfer your booking to another MATCPD event.

6. Event Changes and Postponements

While we aim to deliver all events as advertised, MATCPD LIMITED reserves the right to amend event details, including date, format, or delivery method, in response to unforeseen circumstances (e.g. speaker changes, venue issues, or government restrictions). In such cases:

• You will be offered a transfer to the new date

• If you are unable to attend the rescheduled event, you may choose to rebook for a different MATCPD event, retain a credit, or request a full refund

If an in-person venue becomes unavailable due to external restrictions, the event may proceed virtually. For hybrid events, delegates may request to switch between in-person and virtual attendance up to one week before the event.

Please note: We may cancel an event if there are insufficient delegate bookings. Should this occur, we will provide you with a full refund or offer the option to transfer your booking to another MATCPD event.

7. eLearning Cancellations

For self-paced eLearning:

• A full refund is available within 14 days of purchase, provided the course has not been accessed

• If the course is accessed within the 14-day period, the right to a refund is forfeited

8. Dietary and Access Requirements

For in-person events where refreshments are available:

• Please inform us of any dietary requirements or accessibility needs at the time of booking or as soon as possible by contacting our team

9. Discounts and Special Offers

• Promotional discounts cannot be combined with other offers or applied retrospectively

• Discounts do not apply to organisations classified as commercial

• Promotional codes may not be used to purchase event materials or handbooks
